Administrative Assistant (Major Crime Investigation Team)

Location - Bristol, Kenneth Steele House- BS2 0TQ.

Hours - Part time, working 20 hrs pw. 

We’re looking for an experienced administrator who is proactive and able to navigate competing priorities with a problem solving mindset to join the Major Crime Investigation Team. You will be a confident communicator, taking ownership of challenges and be able to use your initiative to identify solutions.
 
The Brunel Major Crime Investigation Team (MCIT) is a regional collaboration between Gloucestershire, Wiltshire, and Avon and Somerset Major Crime Teams. We are responsible for investigating murder and other homicides, bringing offenders to justice and striving to provide the highest level of service and support to families and the wider public.
 
The Brunel Collaboration was created to offer greater resilience in the response to Homicide and Major Crime, sharing resources and offering cross border assistance when needed. You will be providing assistance to the Senior Leadership Team (SLT) across the Collaboration, working together to ensure the effective response and investigation of Major Crime.

You will play an active part in the day to day running of the Major Incident Room. Working in a fast paced environment with a swift response to crimes being key to bringing offenders to justice. The smooth running of the department and delivery of the key administrative duties are essential to the day to day business of the team.  You will need to be self-motivated to be able to independently manage your workload as well as engage effectively with colleagues at all levels including senior leaders.

In this role, your main responsibilities will be:

  • Manage incoming communications to the office, whilst maintaining confidentiality of sensitive information – including answering routine queries, providing advice and taking messages for more complex issues, preparing correspondence in line with the appropriate office guidelines, collecting and actioning internal/external mail.
  • Provide personal assistant support to the Senior Leadership Team (SLT) – including making meeting arrangements/bookings, managing meeting communication, taking minutes, preparing reports and providing performance information/data analysis.
  • Provide general administrative support to the office – including maintaining staff records for access to IT and estate, managing locker availability/key allocation, being responsible for site petty cash/income in accordance with force procedures and overseeing the process for fixes to broken equipment.
  • Manage computerised duty sheets – including maintaining the local resource sheet/systems to reflect accurate staff work patterns/availability, confirming weekend staff availability, collating annual leave requests as directed, coordinating bank holiday cover and collating resource requests for major events.
  • Responsibility for maintaining the collaboration’s fleet - including arranging vehicle repair and maintenance, ensuring record of vehicle defects/collisions, monitoring mileages and booking required services and MOTs.

Skills, experience and qualifications required:

  • Experience of communicating with stakeholders and external organisations and customer service skills
  • Understanding of General Data Protection Regulation (GDPR) compliance and maintaining confidentiality
  • Computer literate with experience of using Microsoft packages such as PowerPoint, Word, Excel, Outlook
  • Previous administrative experience
  • Good attention to detail

Additional information:

This role is based in Avon and Somerset at the Bristol MCIT Hub at Kenneth Steele House.

The working hours for this role are 20 hours per week.  You are able to work 20 hours across either 5 days (4 hours per day) or across 4 days (5 hours per day).  Working times need to be carried out between 8am and 4pm but there is flexibility regarding the working times.  For example, you could work 9am to 1pm or 10am to 2pm etc.

To be eligible to apply for this role you must have a 5 year ‘checkable history’ in the UK – ideally this means that you would have been resident in the UK for the last 5 years.
